A report is a systematic, objective, and organized presentation of information prepared for a specific reader and purpose. In academic and professional contexts, reports communicate findings, evaluate evidence, document activities, and support decisions; unlike a general essay, a report normally uses clearly labelled sections and emphasizes accessible, verifiable information.
A. Introduction
The introduction to report writing establishes reports as evidence-based documents shaped by their purpose, audience, and context.
- Definition: A report is a structured document that presents facts, findings, analysis, and sometimes recommendations concerning a defined subject, investigation, event, or problem.
- Central principle: Effective reporting transforms collected information into an intelligible document without distorting the evidence.
- Specific purpose: Every report responds to a task, such as documenting laboratory results, assessing student performance, investigating an accident, or evaluating a policy.
- Defined audience: Content and style depend on the intended reader.
- A technical report for engineers may use specialist terminology and detailed calculations.
- A report for the public should explain technical material in accessible language.
- Objective approach: Claims should arise from evidence rather than personal preference. For example, “Sales decreased by 12% between April and June” is more precise than “Sales were very poor.”
- Systematic organization: Information is divided into functional sections such as introduction, method, findings, conclusion, and recommendations.
- Formal tone: Reports generally use clear, concise, and impersonal language, although first-person forms may be acceptable when required by a discipline or institution.
- Evidence and attribution: Data, observations, documents, and published research must be accurately presented; borrowed ideas require acknowledgement according to the prescribed citation style.
- Distinction from an essay:
- Essay: Usually develops a continuous argument through connected paragraphs.
- Report: Organizes information under headings so that readers can locate particular findings quickly.
- Distinction from a research paper:
- Report: Often addresses a practical task and may present findings to a decision-maker.
- Research paper: Usually develops a scholarly argument or answers a research question through sustained engagement with evidence and existing scholarship.
- Qualities of an effective report: Accuracy, relevance, clarity, coherence, completeness, conciseness, neutrality, and consistent formatting are its governing characteristics.
II. Types of Reports: Classification by Purpose and Context
Reports can be classified according to their purpose, subject, audience, frequency, level of formality, and method of investigation.
A. Types of reports
Different types of reports perform different communicative functions, although many actual reports combine features from more than one category.
- Informational report: Presents organized facts without extensive interpretation or recommendations. Examples include attendance reports, monthly activity reports, and inventories.
- Analytical report: Examines evidence, identifies relationships or causes, and draws reasoned conclusions. A report comparing two teaching methods through examination results is analytical because it interprets the data.
- Recommendation report: evaluates alternatives and proposes a course of action. Its recommendation must follow from stated criteria such as cost, feasibility, safety, or effectiveness.
- Research report: Records an investigation based on a research question, a method of collecting evidence, analysis, and conclusions. It may report survey results, experimental findings, interviews, or textual analysis.
- Technical report: Communicates specialized scientific or technical information. It commonly includes specifications, measurements, diagrams, calculations, procedures, and test results.
- Laboratory report: Documents an experiment through sections such as aim, materials, method, results, discussion, and conclusion. Reproducibility is important because another researcher should be able to understand how the result was obtained.
- Progress report: Explains the current status of continuing work by identifying completed tasks, pending tasks, difficulties, expenditure, and the next stage.
- Feasibility report: Determines whether a proposed project is practical. It assesses factors such as required resources, available technology, estimated cost, schedule, legal constraints, and potential risks.
- Incident or accident report: Provides a factual record of an unexpected event. Concrete details include the date, time, location, people involved, sequence of events, damage, witnesses, and immediate response.
- Field report: Presents observations collected outside a controlled classroom or laboratory, such as findings from an industrial visit, archaeological site, or community survey.
- Case report: Examines a particular person, institution, event, or situation in depth. It relates specific evidence from the case to relevant concepts or professional standards.
- Annual report: Summarizes an organization’s activities and performance over one year, often including achievements, financial information, operational results, and future priorities.
- Formal and informal reports:
- Formal report: Uses an elaborate structure, careful documentation, preliminary pages, and an official style; a university research report is a typical example.
- Informal report: Is shorter and may appear as a memorandum, letter, or brief internal document.
- Routine and special reports:
- Routine report: Is produced at fixed intervals, such as a weekly production report.
- Special report: Is commissioned in response to a particular issue, such as an inquiry into falling enrolment.
- Internal and external reports:
- Internal report: Circulates within an institution and addresses organizational needs.
- External report: Is prepared for clients, regulators, funding bodies, shareholders, or the public.
- Classification principle: Categories may overlap; for example, an external feasibility report may be both formal and analytical.
III. Format of a Report: Structural and Presentation Conventions
Report format is the ordered arrangement of preliminary material, main discussion, and supporting material so that readers can follow the investigation and retrieve information efficiently.
A. Format of a report
A standard report moves from identifying the task to presenting evidence, interpreting it, and stating what follows from the findings.
- Title page: Identifies the report title, writer, institution or organization, recipient, course or department, and submission date. The title should precisely name the subject, such as “Assessment of Library Use among First-Year Students.”
- Declaration or certificate: Appears when an institution requires formal confirmation that the work is original or completed under approved supervision.
- Acknowledgements: Briefly recognize substantial academic, technical, institutional, or financial assistance.
- Executive summary or abstract: Condenses the purpose, method, principal findings, conclusion, and main recommendation. Although placed near the beginning, it is normally written after the report is completed.
- Table of contents: Lists section headings and page numbers. Longer reports may also contain separate lists of tables, figures, abbreviations, or appendices.
- Introduction: Defines the subject and prepares the reader for the report.
- Background: Explains the context in which the issue arose.
- Aim or objective: States what the report intends to determine.
- Scope: Establishes what is included and excluded.
- Terms of reference: Record who requested the report, why it was commissioned, and what it must cover.
- Method or methodology: Explains how information was obtained and analysed. Concrete details may include a sample of 100 respondents, a five-item questionnaire, interview dates, database search criteria, or laboratory equipment.
- Findings or results: Present the collected evidence without confusing observation with interpretation. Tables and figures should be numbered, titled, and referred to in the text.
- Discussion or analysis: Interprets the findings, identifies patterns, compares results with expectations or standards, and considers explanations. If 64 of 100 respondents preferred digital resources, the discussion should explain the significance and limits of that result.
- Conclusion: States the judgments supported by the findings. It should answer the report’s objectives without introducing new evidence.
- Recommendations: Propose specific, feasible actions derived from the conclusion. Strong recommendations identify the action, responsible person or body, and sometimes a timeframe.
- References: Record all cited sources in the required style. Every in-text citation should correspond to a full reference entry.
- Appendices: Contain relevant supplementary material, such as questionnaires, interview schedules, raw data, extensive calculations, or official documents.

1,1.1, and1.1.1, reveals relationships between sections and prevents unrelated points from being combined. - Paragraph design: Each paragraph should develop one controlling idea through a topic sentence, supporting evidence, and explanation.
- Visual presentation: Fonts, margins, spacing, page numbers, table styles, and heading levels should remain consistent throughout the document.
- Editing requirement: Final revision should verify factual accuracy, logical sequence, citation consistency, grammar, spelling, and agreement between numerical data in the text and tables.
IV. Assessment Reports: Evidence-Based Evaluation of Performance
An assessment report evaluates performance, learning, quality, needs, or outcomes against stated objectives and criteria, then communicates the results to relevant stakeholders.
A. Assessment reports
Assessment reports make evaluation transparent by connecting evidence to explicit standards rather than relying on unsupported impressions.
- Purpose: An assessment report identifies the level of achievement, areas of strength, gaps requiring attention, and actions that may improve future performance.
- Common contexts: Such reports are used in education, employee appraisal, programme evaluation, accreditation, healthcare, training, and institutional quality assurance.
- Assessment criteria: Evaluation must use predetermined standards. In an academic writing course, criteria might include organization, argument, evidence, vocabulary, grammar, and referencing.
- Evidence base: Conclusions may draw on examination scores, assignments, portfolios, observations, interviews, surveys, attendance records, performance tasks, or statistical indicators.
- Quantitative evidence: Numerical results show measurable performance. For example, a mean score rising from 58 to 67 indicates a nine-point increase, though it does not alone explain the cause.
- Qualitative evidence: Descriptive evidence, such as classroom observations or learner reflections, can reveal difficulties that scores do not show.
- Assessment approaches:
- Formative assessment: Occurs during learning or programme implementation and provides feedback for improvement.
- Summative assessment: Occurs at the end of a course, project, or period and judges overall achievement.
- Criterion- and norm-referenced interpretation:
- Criterion-referenced: Compares performance with a fixed standard, such as achieving at least 70% of stated learning outcomes.
- Norm-referenced: Compares an individual or group with the performance of others.
- Core structure: A clear assessment report states the assessment purpose, context, criteria, methods, evidence, results, interpretation, limitations, conclusion, and recommendations.
- Balanced interpretation: The report should identify both achievement and deficiency. “Students organized paragraphs effectively but used limited source evidence” is more informative than a general label such as “average performance.”
- Validity: The assessment must measure what it claims to measure; a spelling test alone cannot validly assess overall communicative competence.
- Reliability: Similar evidence should produce reasonably consistent judgments across occasions or assessors. Rubrics and moderation procedures can improve reliability.
- Fairness: Criteria, language, access conditions, and scoring procedures should avoid irrelevant disadvantage and should be communicated appropriately.
- Confidentiality and ethics: Personal information must be handled responsibly, and identifiable results should be disclosed only to authorized readers.
- Recommendations: Proposed actions should be realistic and linked directly to findings, such as providing source-integration workshops when evidence shows weak citation and paraphrasing skills.
- Limitations: Small samples, incomplete records, inconsistent marking, self-reported data, and short assessment periods should be stated because they restrict the conclusions that can reasonably be drawn.
