Unit 2: Academic Writing
I. Orientation
Academic writing is a formal process of developing, supporting, and organizing ideas for a defined audience and purpose. It depends on a movement from preliminary thinking to evidence-based development and finally to logical organization. The writer must control both the content and the structure of the text so that each claim is understandable and adequately supported.
Defining characteristics:
- Purpose: Academic writing explains, analyzes, evaluates, or argues rather than merely expressing personal opinion.
- Audience: Readers expect precise language, relevant evidence, clear organization, and explicit connections between ideas.
- Central claim: Most academic texts are guided by a thesis, research question, or controlling idea.
- Evidence: Claims should be supported by reliable information, examples, data, or accurately interpreted sources.
- Organization: Ideas normally progress from introduction to development and conclusion through recognizable relationships.
- Revision: Planning, research, sorting, drafting, and revising are connected stages rather than completely separate activities.
- Academic integrity: Information from other writers must be represented accurately and acknowledged according to the required citation system.
- Objectivity and precision: Formal writing avoids unsupported generalizations, vague wording, and unnecessarily emotional language.
II. Brainstorming and Outlining — Generating and Structuring Ideas
Brainstorming and outlining are planning methods used before drafting. Brainstorming expands the possible content of a paper, while outlining selects and arranges that content into a logical sequence.
A. Brainstorming and outlining
Brainstorming produces ideas without immediately judging them, whereas outlining turns useful ideas into an ordered plan.
- Define the task: Identify the subject, purpose, audience, required length, and type of writing. An argumentative essay on “online learning” requires a different plan from a descriptive report on the same subject.
- Generate freely: List words, questions, examples, causes, effects, problems, and possible viewpoints before deciding which are strongest. A prompt about urban pollution might produce “traffic,” “health,” “industry,” “public transport,” and “government policy.”
- Use focused questions: Ask who, what, when, where, why, and how. For example, “Why does traffic increase urban pollution?” can lead to causes, evidence, and possible solutions.
- Choose a method:
- Listing: Write separate ideas in a rapid sequence.
- Clustering: Place the main topic in the centre and connect related ideas around it.
- Freewriting: Write continuously for a short period to discover relationships and questions.
- Questioning: Challenge an idea with questions such as “What causes this?” or “What evidence proves it?”
- Delay evaluation: Early criticism can prevent useful ideas from appearing. Evaluation belongs after the writer has produced enough material to compare.
- Identify the controlling idea: Reduce the broad topic to a manageable focus. “Climate change” is broad; “How climate change affects coastal agriculture” is more suitable for a short paper.
An outline represents the paper’s intended structure. It should show relationships between major points and supporting details, not merely provide a list of unrelated headings.
- Write a working thesis: State the main position or direction in one sentence. For example: “Reliable public transport can reduce urban pollution by lowering private-car use and improving traffic efficiency.”
- Select main points: Each major point should directly support the thesis. A possible outline may use “reduced car dependence,” “lower emissions,” and “improved traffic flow.”
- Arrange logically: Choose an order suited to the purpose:
- Chronological order: events or stages from earlier to later.
- Cause-and-effect order: causes first, consequences second.
- General-to-specific order: broad principle followed by details.
- Problem-solution order: problem, effects, proposed responses.
- Use parallel structure: Headings at the same level should have similar grammatical form, such as “Reducing emissions,” “Improving access,” and “Supporting economic activity.”
- Balance sections: A major point needing three paragraphs should not appear beside a minor point needing only one phrase. Unequal development may indicate weak planning.
- Reserve space for transitions: Mark connections such as “however,” “as a result,” or “in contrast” so that the final draft shows how ideas relate.
B. Gathering information
Planning determines what information is needed. A useful outline therefore becomes a guide for targeted research rather than a reason to collect every available fact.
- Convert points into research needs: The outline point “lower emissions” requires evidence such as pollution measurements, transport statistics, or findings from a credible study.
- Form research questions: Turn each heading into a question: “What evidence shows that public transport lowers emissions?” This question keeps searching focused.
- Avoid premature commitment: Brainstorming may suggest a thesis, but research can refine or challenge it. A responsible outline remains flexible until the evidence is examined.
- Mark evidence gaps: Place symbols such as “[source needed]” beside claims that require verification. This prevents unsupported statements from entering the draft unnoticed.
- Estimate scope: A 1,000-word essay cannot investigate every environmental effect of public transport. The outline should limit the research to two or three defensible dimensions.
C. Sorting the material
Sorting begins during planning when the writer distinguishes central ideas from interesting but irrelevant material.
- Classify by function: Label notes as “definition,” “example,” “cause,” “effect,” “counterargument,” or “conclusion.” A statistic about bus use is evidence; a dictionary meaning is background.
- Test relevance: Ask whether removing a note would weaken a specific paragraph. If it does not support the thesis or explain necessary context, it may not belong.
- Locate repetition: Two similar points should be combined or clearly distinguished. “Less traffic” and “faster travel” may need separate evidence because one concerns congestion and the other concerns travel time.
- Rank importance: Place essential evidence under major headings and minor examples beneath it. This creates a hierarchy before drafting begins.
- Keep alternatives visible: A rejected argument may later become a counterargument. Do not delete it automatically; move it to a separate section of the outline.
III. Gathering Information — Finding and Recording Evidence
Gathering information is the systematic search for material that can explain, support, qualify, or challenge the paper’s central claim. Effective research is selective: the writer seeks information that answers the research question and meets standards of reliability.
A. Brainstorming and outlining
Brainstorming and outlining make research more efficient by defining the information required before searching begins.
- Start with prior knowledge: Write what is already known, but treat it as a starting point rather than proof. A student may know that traffic causes pollution but still need measured evidence.
- Develop search terms: Extract key concepts from the outline. For public transport research, useful terms may include “urban transport emissions,” “bus ridership,” and “traffic congestion study.”
- Use progressive searching: Begin with broad terms to understand the field, then narrow the search to a place, population, date, or variable.
- Create a source plan: Assign likely source types to outline points:
- Definitions: academic textbooks or authoritative institutions.
- Current statistics: government databases or recent reports.
- Research findings: peer-reviewed journal articles.
- Policy details: official legislation or agency documents.
- Record the purpose of each source: Note whether a source supplies a definition, statistic, explanation, opposing view, or example. This makes later sorting faster.
- Refine the thesis: If collected evidence repeatedly supports only a narrower claim, revise the outline accordingly. Research should improve accuracy rather than simply confirm the first idea.
B. Gathering information
The quality of academic writing depends heavily on the quality and handling of its information.
- Evaluate authority: Check the author’s expertise, institutional affiliation, publication venue, and qualifications. A transport study by a recognized research institute carries more authority than an anonymous webpage.
- Check currency: Match the publication date to the topic. A 2023 statistic may be essential for current transport patterns, while an older theoretical definition may remain useful.
- Examine evidence: Prefer sources that explain methods, identify data, and distinguish results from interpretation. A claim that “pollution fell” should identify where, when, and how it was measured.
- Compare sources: One source may report a benefit while another identifies a limitation. Comparison helps prevent a one-sided argument.
- Distinguish fact from opinion: “The city introduced a bus-lane policy in 2022” is verifiable information; “the policy was obviously successful” is an evaluation requiring evidence.
- Take accurate notes: Record the author, title, date, page or section, relevant quotation or paraphrase, and the connection to the outline.
- Separate quotation and paraphrase: A quotation preserves the source’s exact wording; a paraphrase restates the meaning in genuinely different language. Both require acknowledgment.
- Avoid quotation overload: Use direct quotation when wording is especially precise, authoritative, or significant. Otherwise, paraphrase and explain the relevance.
- Maintain an information log: A simple table can connect evidence to the planned argument.

Information should be sorted while it is gathered, not stored as an undifferentiated collection.
- Verify before storing: Check numbers, dates, units, and context. “A 15% reduction” is incomplete unless the writer knows the measured pollutant, comparison period, and location.
- Group by outline heading: File each note under the paragraph or section where it may be used.
- Mark reliability: Distinguish strong evidence from tentative background information. An official dataset and an unsourced blog should not be treated equally.
- Identify contradictions: If sources disagree, record the difference and investigate methods, populations, dates, or definitions before choosing a position.
- Prevent source confusion: Keep each note attached to its source details. Mixing several sources in one paragraph of notes makes later citation unreliable.
- Remove decorative information: A striking fact that does not answer the research question may distract from the argument and should be excluded.
IV. Sorting the Material — Selecting and Ordering Content
Sorting the material is the stage in which the writer turns gathered notes into an argument-shaped collection. The aim is not to include everything discovered but to select material that is relevant, credible, and logically placed.
A. Brainstorming and outlining
At this stage, the initial outline is tested against the actual material and revised where necessary.
- Match evidence to claims: Every major claim should have suitable support. If the outline says “public transport improves health,” it needs health-related evidence, not only traffic statistics.
- Reorder by logic: Move sections when the argument becomes clearer. Background definitions normally precede detailed analysis, while limitations often follow the main supporting case.
- Combine overlapping points: Merge headings that use different wording for the same idea. This reduces repetition and creates space for deeper explanation.
- Add missing links: Insert a subpoint when the reader needs an explanation between evidence and conclusion. A statistic about bus use may require a sentence explaining how increased ridership affects car journeys.
- Check proportion: The thesis, main points, evidence, and conclusion should receive attention appropriate to their importance.
B. Gathering information
Sorting gathered information requires judging not only whether material is interesting but also whether it can perform a clear role in the paper.
- Select direct support: Choose evidence that answers the research question most directly. A local emissions study may be more useful than a general international statistic when the paper concerns one city.
- Keep context attached: Store qualifications with the evidence. “Reduced emissions” may apply only during the first year or only to a particular transport corridor.
- Pair evidence with explanation: A statistic does not prove its significance by itself. The writer must explain what it demonstrates and how it supports the thesis.
- Include credible opposition: A strong academic argument may acknowledge a limitation, such as high infrastructure cost, and then respond using evidence or a qualified conclusion.
- Control quantity: Several weak sources do not necessarily equal one strong source. Select material for relevance and reliability rather than volume.
C. Sorting the material
The final sorting process creates the working order for paragraphs and helps maintain coherence.
- Use a hierarchy: Arrange material as thesis, main claim, supporting reason, evidence, explanation, and link to the next point.
- Separate background from analysis: A definition of “public transport” supplies context; interpreting emissions data supplies analysis. Mixing them can make paragraphs unfocused.
- Build paragraph units: Each paragraph should normally develop one controlling idea. Notes that serve different purposes should be divided.
- Order supporting details: Begin with the point needed for understanding, develop it with evidence, and end by connecting it to the larger argument.
- Use a sorting test: For every item, ask:
- Relevance: Does it support the thesis or necessary context?
- Reliability: Can its accuracy and authority be defended?
- Placement: Does it belong under this heading?
- Function: Is it evidence, explanation, example, limitation, or transition?
- Remove unsupported material: Delete notes that cannot be verified or that introduce claims beyond the paper’s scope.
- Preserve citation information: Final sorting is incomplete if selected evidence cannot be traced to its source. A well-organized content file must remain connected to a complete source record.
